Don't Rage Reply. ChatGPT Writes It Calm

A bad review is sitting there, or you rage replied. Give ChatGPT the context, get a calm three-sentence reply with no excuses, check it and post it under your name.

A bad review lands. Maybe it's been sitting there for weeks with no answer. Maybe you saw it at midnight and fired back an angry reply you now wish you could take back. Neither one helps you. Here's how I'd use ChatGPT to write a calm, short reply instead, one that speaks to the people who read the review after it.

How do I respond to a negative review without making it worse?

Don't reply angry, and don't leave it sitting there. Paste the review into ChatGPT, give it the full context of what happened and ask for a calm three-sentence reply with no excuses. Read it, make sure it sounds like you, then post it under your name.

Replying to a negative review with ChatGPT means using AI to draft a short, calm public response from the facts you give it, then reviewing and posting it yourself.

Why does a rage reply hurt your business?

A reply written at midnight is written for one person: the reviewer who made you mad. But the reviewer isn't the audience that matters. As I say in the clip, you're not talking to the negative reviewer. You're talking to your next customer.

That next customer reads the review and your reply side by side. An angry reply or a list of excuses tells them how you handle problems. A calm reply tells them something different. So does silence: a review with no answer sits there with only one side of the story.

What should I give ChatGPT before it writes the reply?

Give it the review itself and all the context about what happened. The more it knows, the less it has to guess. Useful context includes:

  • The full text of the review.
  • What actually happened, from your side, in plain words.
  • Anything you already did to fix it, if you did.
  • How you normally talk to customers, so the reply sounds like you.

Then ask for exactly what I ask for in the clip: a calm reply, three sentences, no excuses. Those three limits do the work. Calm keeps the temperature down. Three sentences keep it short enough that people read it. No excuses keeps it from turning into an argument.

Only put in what you're comfortable sharing with your AI workspace. You don't need the customer's private details to write a good reply.

What do I still check before I post it?

Review it. ChatGPT drafts, you decide. Read the reply and ask two questions. Is it accurate to what happened? Is it in your voice? If it sounds like a corporate statement, rewrite the parts that don't sound like you. Then post it under your name, so a real person is standing behind it.

The point of having AI write it is distance. You give it the facts, and it hands back a version without the heat you felt when you first read the review. You still own the final words.

Which negative review should I answer first?

Start with your oldest one. That's the review that has sat longest without an answer, and every person who has read it since has seen only one side. Answering it today is the action I give at the end of the clip.

What does this not solve?

A calm reply doesn't remove the review, and it doesn't guarantee the reviewer changes their mind. It also can't fix the problem that caused the review in the first place. If the complaint points to something real in how you run the business, the reply is the start, not the fix. And ChatGPT only knows what you tell it, so a reply built on incomplete context can still miss.

What should you do today?

Open your reviews, find your oldest negative one and reply to it. Paste it into ChatGPT with the context, ask for a calm three-sentence reply with no excuses, check it, and post it under your name.
