Receipt Hell Is Over. ChatGPT Matches Them for You

Use ChatGPT to suggest matches between receipts and card charges. Review every pairing and unmatched item against your original records before using the spreadsheet.

Your receipts are a scavenger hunt. The glove compartment, the center console, somewhere in your house, somewhere in your office. Getting them organized for reimbursement or bookkeeping is work you keep putting off. Here's how I'd use ChatGPT to prepare a receipt-matching sheet you can check.

How do I match receipts to credit card charges with ChatGPT?

Photograph the receipts and collect the statement covering the period you want to review. Remove information the task doesn't need before uploading. Ask ChatGPT to extract the dates, merchant names, amounts and currencies, then suggest which receipts belong to which charges. Have it keep uncertain and unmatched items visible instead of forcing a match.

Receipt matching means pairing a receipt with the card charge it supports. An unmatched item means the supplied records do not yet establish a match. It does not prove that a receipt is lost, a charge is duplicated or a purchase is personal.

What should I prepare before uploading?

  • Clear receipt photos that show the merchant, date, final total and currency.
  • The statement period and the transaction rows you want checked. Prefer a redacted CSV or text-based PDF over a screenshot when available.
  • A visible label on each receipt copy, or a reference you state when uploading it, such as Receipt 01. Don't depend on the original image filename being read.

Ask for the extracted rows first and compare them with the originals before matching. OpenAI warns that exact values in scanned files and image-based tables may be extracted incorrectly. An upload succeeding does not mean every row was read.

Use copies. Remove full card and account numbers, addresses and other personal or confidential details the matching task doesn't need. Keep the transaction information required for matching. Use an AI account approved for these records and check its data controls and your organization's rules. Redaction does not make every financial record appropriate to upload.

What prompt should I use for receipt matching?

Use this as a starting point after preparing the records and checking the extracted rows:

“Create a receipt-matching review spreadsheet from the checked records. Preserve the original merchant text, dates, amounts and currencies. Use the receipt labels and statement page or row references I supplied so I can check every entry. Mark anything unreadable; do not invent missing values.

“Suggest receipt-to-charge matches and show the reason for each. Use statuses: proposed match, needs review or no match found in supplied files. Keep purchase dates and posting dates separate. Do not force a match because an amount is the same. Flag different merchant names, tips, refunds, split payments and competing possible matches for review.

“Do not silently reuse a receipt for more than one charge. List every receipt that remains unmatched. Keep payments, fees and credits separate from purchase matching. Show counts and totals separately by currency and transaction type so I can compare them with the source records. Do not decide whether any transaction is deductible, fraudulent, duplicated or personal.”

What does a receipt match look like?

Illustrative example, not a client result:

Receipt 01: Corner Cafe, October 2, total before tip $18, tip $3, final total $21 USD.

Statement row: CORNERCAFE LAS VEGAS, posted October 4, $21 USD.

Suggested result: proposed match, because the final amount and currency agree and the merchant names may refer to the same business. Check the originals before accepting it. The purchase and posting dates differ, and that difference alone does not establish a problem.

Now suppose two statement rows show the same merchant and $21 amount, but you have only one receipt. Leave both candidates for review. One receipt does not tell you which charge it supports or prove that the other charge is a duplicate.

What do I still check myself?

Check the extracted dates and amounts against the originals. Review every proposed match before relying on the sheet for reimbursement or bookkeeping, including rows the AI marked as straightforward. A faded image, two similar purchases, a tip or a different merchant descriptor can lead to a wrong pairing.

Compare the extracted row counts and totals with the source records to catch omissions or duplicated rows. Review unmatched receipts and transactions separately. Look for another statement period or payment method where relevant, without assuming that explains the mismatch. Review both lists against your records before deciding why an item is unmatched.

For a broader review habit, read how to challenge AI output before you trust it. Asking AI to check itself is not independent verification.

Does this replace bookkeeping or decide tax deductions?

No. This is a way to prepare an organized review sheet. It does not replace your bookkeeper or accountant, decide deductibility, prove fraud or settle a disputed charge. Keep the original records and let the person responsible for your books review the final result.

What should you do today?

Start with a few redacted receipts and the matching statement rows. Check the result before you give the process a larger batch. If receipt matching keeps taking over month-end, talk with me about the recurring work you want to improve.

Your receipts are a freaking scavenger hunt. All the time. Where'd they go? Your glove compartment, your center console, somewhere in your car, somewhere in your house, somewhere in your office. It's the absolute worst getting them organized and logged to get reimbursed or just for taxes.

Stop it. Take pictures of all of your receipts, upload them to ChatGPT along with your credit card statement and have it create a spreadsheet to match the receipts with the charges. And if they don't match, those are flags that you chase down.

I'm Jeff Fargo. I can help you streamline and scale with AI. Go forth.
